Forward/Redirect Your UW E-mail
Introduction
All University of Wyoming (UW) faculty, staff, and students have a UWYO domain and Exchange e-mail account. This account will be used to e-mail you important University information, information pertinent to your classes, etc. and will be the e-mail account listed for you in the Outlook (and Outlook Web Access) Global Address Lists, which all others on campus have access to. If you would rather not access your UW e-mail through this account and would rather redirect or forward it on to another e-mail account of your own, you can do so through the creation of a rule in Microsoft Outlook.
NOTE: Though forwarding rules can be created in Outlook Web Access, redirecting rules cannot. If you create a rule in Outlook Web Access to forward your e-mails to another account, all e-mails will appear to be from your UW e-mail account once they reach the final destination rather than from the original sender. By using Microsoft Outlook to create a redirect rule, each e-mail will be sent on and retain the original sender information. However, any other recipients that the e-mail was originally sent to, copied to, or blind-copied to will not be retained in the redirected e-mail.
Procedure

Creating a Rule in Microsoft Outlook 2003 to Redirect your UW E-mail to Another Account
NOTE: To create this rule in Outlook, you must have Outlook configured for your UW e-mail account. See How to Configure Microsoft Outlook 2003 for Your UW Exchange E-mail Account (www.uwyo.edu/askit/displaydoc.asp?askitdocid=156&parentid=1). Microsoft Outlook 2003 is available to students in the UWSTUDENT computer labs and is preconfigured for your UW e-mail account.
- Open your UW e-mail account in Microsoft Outlook.
- Select the Tools Menu, and click Rules and Alerts.
- In the Rules and Alerts window, click New Rule.

- In the Rules Wizard window, select Start from a blank rule, click Check messages when they arrive, and click Next.

- In the Which condition(s) do you want to check? window, in the Step 1: Select condition(s) box, select the sent to people or distribution list check box.
- In the Step 2: Edit the rule description box, click the underlined people or distribution list.

- In the Rule Address window, in the To box, type your UW e-mail address in the format username@uwyo.edu, and click OK.

- Verify the underlined text now shows either your UW e-mail address or your full name as recognized by the UW Exchange e-mail servers, and click Next.
- In the What do you want to do with the message? window, in the Step 1: Select action(s) box, select the redirect it to people or distribution list check box.
- In the Step 2: Edit the rule description box, click the underlined people or distribution list.

- In the Rule Address window, in the To box, type the e-mail address of the e-mail account you would like your UW e-mails redirected to, and click OK.

- Verify the underlined text now shows the e-mail address you would like your UW e-mail redirected to, and click Next.
- In the Are there any exceptions? window, select any options that you would like to restrict the e-mails that will be sent on. To send all e-mails on without any restrictions, do not select any check boxes, and click Next.

- In the Finish rule setup window, in the Step 1: Specify a name for this rule box, enter a name for the rule you've just created.
- Select the Turn on this rule check box, and click Finish.

- Click OK in the original Rules and Alerts window. The rule is now activated and will apply to all new incoming e-mail.

Checking your UW E-mail Periodically to Prevent Going Over Quota
NOTE: Through the use of the Outlook forward or redirect rules, e-mails will still remain in your UW e-mail Inbox. Therefore, it is necessary for you to access your UW e-mail periodically to remove all old e-mails to prevent your account from going over quota. If your account does go over quota, you will not continue to receive any additional e-mails to your UW e-mail account or forwarded on to your other e-mail account.
- Access your UW e-mail account through Outlook Web Access at https://uwmail.uwyo.edu/.
- On the Outlook Web Access page, click Logon to Outlook Web Access.
- In the Connect to uwmail.uwyo.edu window, enter your UWYO domain username and password, and click OK.
- Outlook Web Access will open to your Inbox automatically.
- To permanently delete all e-mails from your Inbox (this does not send them to the Deleted Items folder for later recovery), while pressing the SHIFT key on the keyboard, click the first e-mail in the Inbox and scroll down and click the last e-mail on the page.

- Still pressing the SHIFT key, press the Delete key on the keyboard.
NOTE: Clicking the Delete icon in the toolbar (rather than the Delete key on the keyboard) will send the selected items to the Deleted Items folder instead of permanently deleting them, and you will then need to select the Deleted Items folder and click the Empty Deleted Items icon in the toolbar to clear it out. Any items remaining in your Deleted Items folder count against your total quota.
- When prompted if you want to permanently delete the selected items, click OK.

- Repeat steps E thru G for each page of e-mails in your Inbox until your Inbox is empty.
- Click Log Off in the toolbar to log out of Outlook Web Access.
- Repeat section 2 of this document periodically to prevent going over quota in your UW e-mail account.
