Hiring Academic Personnel|Office of Academic Affairs

Best Practices for Hiring Tenure-Track Faculty and Extended-Term-Track Academic Professionals

(UW Pythian Papers on Academic Careers)

Steps for Hiring Academic Personnel

  1. Recruitment Authorization (Complete one of the following authorization forms and submit to Academic Affairs.)
  1. Conducting the Search (Submit paperwork to EEO after recruitment authorization has been approved.)

Hiring/Termination Paperwork

    • Academic Titles Chart (Use only these titles on academic hiring forms.)
    • Forms
      • Academic Benefited Hiring Form (Specify start date and submit to Academic Affairs as soon as the offer letter has been signed and returned.)
When submitting form to Academic Affairs, attach the following:
        1) letter of offer (see samples below), 2) verification of acceptance, 3) vita, 4) letters of recommendation, 5) job description and 6) background check
Note: Transcripts must be sent directly from institution that granted highest degree to the Office of Academic Affairs.
      • Non-Benefited Hiring Form (Specify start date and submit to Academic Affairs as soon as the offer letter has been signed and returned.)
        • Note: Use only titles for non-benefited jobs found here.
      • Termination Form (Specify last working date and submit to Academic Affairs as soon as written notice of retirement or resignation has been given.  Please clarify in "comment" section if teaching or research obligations extend beyond last day of academic year.)
      • Job Data Change Form (Use when making changes to current position, e.g., position title, FTE, salary, etc.  This form can also been found at:  Form was last updated by HR on 9/19/14.)

Hiring Policies and Guidelines

  • Affordable Care Act and Academic Hiring Practices
    • If a Graduate Assistant is employed at UW in an additional job that results in eligibility for employer-paid benefits, the budget source for the additional job must bear the entire cost of the benefits, regardless of which appointment occurs first. GA funding will not be used for state employer-paid benefits.
    • Human Resources will be able to explain how this will affect the cost of the position during the consultation.
