Schedule an Exchange Resource in Outlook Web App

Introduction

An Exchange Resource is a special Exchange account that represents a resource (conference rooms, vehicles, AV equipment, etc.) instead of a person. Exchange Resources allow for shared scheduling of these items. Procedure

Scheduling a Resource in Outlook Web App

  1. Log into OWA (Outlook Web App) with your UWYO username. See How To Access and Use Outlook Web App (www.uwyo.edu/askit/displaydoc.asp?askitdocid=153) for details on logging into OWA.
     
  2. You can either:
     
    1. Select New and then Meeting Request while in your Inbox.

    2. Open your calendar, select a day on the calendar and then double-click on a time of day to start the meeting.

  3. On the meeting request page, select the Scheduling Assistant tab. Click on Select Rooms and then select More... in the drop-down menu.

  4. In the room selection dialog box be sure to select All Rooms under the Address Book. You can now browse the rooms that are available. On the right side of the dialog box you will see the availability for the room. When you have the room you wish to schedule highlighted, click the Rooms-> button at the lower left, then click OK.

  5. You will return to the Scheduling Assistant window after clicking OK. Make sure to select the room by checking the box next to the room you want to schedule. If the checkbox is not selected the room will not be scheduled.

  6. Add any other meeting attendees by adding their name under the Select Attendees column.

  7. Click the Send button on the upper left of the OWA window.

  8. If you do not have permission to Direct Book the resource you will receive an email notifying you that your request to book the resource is pending approval by a delegate of the resource.

  9. You should receive either an acceptance email or a rejection email after a delegate has acted upon your request.

  10. If there were any conflicts in scheduling the resource, you will receive an email response indicating there was a conflict.

Tips

  1. For more information about Resource Accounts in Outlook Web App, click the Help question mark icon at upper right, type schedule resource in the Search box, and press the Enter key.
