WyoWare Frequently Asked Questions

The University of Wyoming has purchased a Microsoft Campus Agreement with Student Option subscription allowing enrolled students the right to install Microsoft Office and Office Mac suites and Windows operating system upgrades on their personal computers for FREE.

Each student is entitled to one copy of each qualifying product and has the option to download software over a high speed Internet connection or order the software on CD. Downloaded software is provided for FREE. CDs that are ordered must be paid for by the student.

Who is eligible for Microsoft Campus Agreement with Student Option software?

All UW enrolled students are eligible to download and run one (1) copy of each product available through this agreement. Students will be required to use their UWYO domain username and password for validation.

Do I have to pay for the software?

If you choose to download the software, it is available for FREE. If you choose to order the software CD, you can choose to have it shipped directly to your address, or – for select titles – you can choose to pick it up at a campus location. You will be responsible for all associated costs for the CD orders and shipping.

How many copies of the software can I have?

All UW enrolled students are eligible to receive and run one (1) copy of each product available through this agreement. Students will be required to use their UWYO username and password for validation.


How many computers can I install the software to?

Each software product can be installed to one (1) computer only. When installing from CD, if the product is installed on multiple computers, Microsoft will not allow the second installation to be activated.

What are the pros and cons of each method of attaining the software?

  • Downloads are FREE!
    It is STRONGLY RECOMMENDED that you make a backup copy of the downloaded file(s) to durable media or an external storage device should you ever need to reinstall or rebuild your operating system after a catastrophic failure of hardware.
       
  • CDs must be purchased and paid for by the student.
     
  • Students are responsible for shipping charges that are incurred for all products that are not stocked at local distribution partners.


How long does it take to download the software?

The time it takes to download the software will depend on many things: length and condition of your telephone line (if using DSL), the configuration of your computer, and network and Internet congestion. However, in the testing completed for this software and the UW environment, the following times were attained:

Office Enterprise 2007

  • Less than 5 minutes via a campus Ethernet connection
  • Less than 30 minutes via a campus wireless connection
  • Less than 45 minutes via a home cable modem connection
  • Less than 90 minutes via a home DSL connection (1.5mbps)

Office 2008 for Mac

  • Less than 12 minutes via a campus Ethernet connection

Office 2003 Professional and Office 2004 for Mac Standard 

  • Less than 5 minutes via a campus Ethernet connection
  • Less than 30 minutes via a campus wireless connection
  • Less than 30 minutes via a home cable modem connection
  • Less than 60 minutes via a home DSL connection (1.5mbps)
  • Estimated 90 minutes via a home DSL connection (640kbps)
  • Estimated 300 minutes via a home DSL connection (256kbps)

What options do I have for downloading?

Do I need a high speed Internet connection to download the Campus Agreement software?

Yes, due to the size of the installation files for the various software packages, you will need a high speed Internet connection ((Bresnan cable modem, Qwest DSL, Residence Hall Ethernet connection) to download the software. If you do not have access to a high speed Internet connection at your residence or a friend or neighbor's residence, you can go to a UWSTUDENT computer lab to download the file and then save it to CD or other external storage device.


How big are the files if I want to save them to a CD or external storage device once I have downloaded them?

What are the minimum system requirements for running the software?

Microsoft Office Enterprise 2007

  • Processor: 500 MHz or higher.
  • Operating System: Windows XP with Service Pack 2 or Windows Server 2003 with Service Pack 1 or later operating systems.
  • Memory (RAM): 256 MB RAM or higher. Hard drive space: 1.5GB. NOTE: Hard disk space usage varies depending on whether installed from a download or from CD and based on the chosen configuration; custom installation choices may require more or less hard disk space; a complete installation will require more hard disk space.
  • Monitor: 1024x768 or higher resolution.

Microsoft Office 2003 Professional

  • Processor: 233 MHz or higher; Pentium III recommended.
  • Operating System: Windows 2000 Service Pack 3 or later, or Windows XP or later.
  • Memory (RAM): 64 MB RAM (minimum); 128 MB RAM (recommended).
  • Hard drive space: 2.4 GB (once installation is complete and original download file removed, hard drive space used is 1.2 GB.
    NOTE: Hard disk space usage varies depending on whether installed from a download or from CD and based on the chosen configuration; custom installation choices may require more or less hard disk space; selection of the Complete installation choice will require more hard disk space. The above listed requirement is for a downloaded installation file and the Complete install configuration of the product.
  • Drives: CD-ROM drive (or connection to a high speed Internet connection if installing over a network).
  • Display: Super VGA (800 x 600) or higher resolution with 256 colors.

  • Hard drive space: 260 MB.
    NOTE: Hard disk space usage varies depending on the configuration; custom installation choices may require more or less hard disk space; selection of the Complete installation choice will require more hard disk space. The above listed requirement is for default configuration of the product.
  • Drives: CD-ROM drive (or connection to a high speed Internet connection if installing over a network).
  • Display: Super VGA (800 x 600) or higher resolution with 256 colors.

  • Memory (RAM): 512 MB of RAM or more.
  • Hard Disk: 1.5GB for a recommended install
  • Drives: DVD drive (or connection to a local area network if installing over a network).
  • Display: 1024 x 768 or higher resolution monitor.
  • Mouse or compatible pointing device.
  • Entourage and certain features require Internet access.

Microsoft Office 2004 for Mac Professional

  • Processor: 700 MHz native PowerPC G3, G4 or G5 processor.
  • Operating System: Mac OS X version 10.2.8-10.3; Mac OS X version 10.3 is required for the Power Mac G5.
  • Memory (RAM): 512 MB of RAM.
  • Hard Disk: 3 GB.
  • Drives: CD-ROM drive (or connection to a high speed Internet connection if installing over a network).
  • Display: 1024 x 768 or higher resolution monitor.
  • Mouse or compatible pointing device.

Microsoft Office 2004 for Mac Standard

  • Processor: G3, Mac OS X compatible processor or higher.

  • Memory (RAM): 256 MB of RAM.
  • Hard Disk: 450 MB for a recommended install; 630 MB for a full drag-and-drop install.
  • Drives: CD-ROM drive (or connection to a local area network if installing over a network).
  • Display: 1024 x 768 or higher resolution monitor.
  • Mouse or compatible pointing device.

Microsoft Windows XP Professional (upgrade)

  • Processor: 233 MHz or higher; 300MHz or higher recommended.
  • Operating System: Windows 98, Windows 98SE, Windows NT 4.0, Windows 2000, Windows Me, and Windows XP Home Edition (Windows XP Media Center cannot be upgraded to Windows XP Professional).
  • Memory (RAM): 128 MB RAM or higher recommended.
  • Hard drive space: 2 GB (including the 544 MB downloaded installation file).
  • Drives: CD-ROM drive (or connection to a high speed Internet connection if installing over a network).
  • Display: Super VGA (800 x 600) or higher resolution with 256 colors.
  • Keyboard and mouse or compatible pointing device.

Do I need to do anything to prepare to upgrade my Windows or install Office applications?

It is strongly recommended that you make sure that your computer is virus-free before updating any software. If you do not already have an antivirus software installed to check for viruses, Trend Micro PC-cillin Internet Security is available to all UW students for use on their personally owned computers. For further information on PC-cillin and how to install it, see the PC-cillin Internet Security FAQ (www.uwyo.edu/askit/displaydoc.asp?askitdocid=572&parentid=1).

Additionally, prior to installing Windows XP Professional (upgrade), it is strongly recommended that you complete the preparation steps for upgrading your computer outlined on the Microsoft Windows XP Upgrade Center (www.microsoft.com/windowsxp/pro/upgrading/default.mspx) site.


Can I just download the Microsoft software files to my hard drive?

It is strongly recommended that you create a backup (or two) of any UW provided Microsoft software file that you download, so that in the event of a computer failure, you will be able to reinstall the software.


How do I get the activation code after purchasing SPSS from e-Academy?

If you have not logged out of e-Academy, you can retrieve the activation code after you have purchased SPSS by clicking on the My Software link in the upper left corner of the e-Academy page. You should see your purchase of SPSS listed, and a link to the activation code.  If you do not see your SPSS purchase listed, refresh the page using your browser’s refresh button.   Clicking on this link will take you to a page that displays the activation code.

If you have logged out of e-Academy, you can obtain your activation code by doing the following:

  1. When you receive an email confirmation from e-Academy for your purchase, it will contain a link to retrieve your SPSS activation code.  Clicking on the appropriate link will take you to the WyoWare Software for UW Students web page. 
  2. Click on the Start download/order process HERE link. 
  3. When prompted, enter your UWYO username and password and press OK.
  4. Select SPSS from the list on the next page and click continue.
  5. Read the SPSS informational page and print a copy for future reference.
  6. Select “Order software / Obtain activation code” and click continue.
  7. This will take you to the e-Academy software site.  You will be logged in.  You should see “Logged in as“ and your username in the upper right of the page. 
  8. Click on My Software at upper left.  This will take you to a page where you can view your purchase of SPSS.
  9. Click on the link next to SPSS.  This will take you to a page that will display the activation code.


What if I need to reinstall the software, but I do not have a backup of the installation file that I downloaded in order to do this?

In the Terms and Conditions that you agreed to when downloading the software installation files or ordering media through this program, it states that "I understand that I am eligible to receive one (1) copy of each product that is covered under the Campus Agreement Student Option. I will not download or order multiple copies of any product provided through the University of Wyoming Campus Agreement."

You are entitled to one (1) download or one (1) set of CDs only (not both) for each software package. Therefore, it is critical that you back up the file(s) that you download and keep them and/or the software CDs in a safe place.


Once I install the software, can I delete all these extra files that were downloaded to my computer?

Once you have a backup (or two) of the original downloaded installation file, Microsoft_Office_Pro_2003.exe, and the software has been successfully installed to your computer, you can delete the original installation file from your computer. Additional folders and files, such as the MSOCache folder installed to your computer during an Office 2003 installation, must remain on your computer in order to allow you to get updates and install additional components in the future. Do not move or rename these folders or files.


If I have Office products installed on my computer, can I upgrade over the current versions?

It is recommended that you uninstall all instances of previous versions of Microsoft Office, Microsoft Works, and individual components installed by the manufacturer including Office, Access, Excel, Entourage, PowerPoint, Publisher, Outlook, and Word. Failure to do so may cause the UW provided Microsoft product installation to fail.


Why, after installing Office from the download, am I prompted for a CD code or product key when I try to use one of the applications?

If you installed Microsoft Office from the download, it is necessary that you uninstall all previous versions of Microsoft Office, Microsoft Works, and/or any individual Office components installed by the manufacturer. Failure to do so may cause the installation to fail or cause errors within the applications, including the prompt for a CD code or product key.

In order to uninstall previous versions of Microsoft Office, click the Start menu button, and click Control Panel; in the Control Panel, click Add or Remove Programs; in the Add or Remove Programs window, locate the previous versions of Microsoft Office, Microsoft Works, and/or individual Office applications, and click Remove.


What do I need in order to install Windows XP Professional (upgrade) to my computer?

You will need your own original Windows media that was installed to your computer (Windows 98 or above, not including Windows XP Media Center). The Windows XP software available through this agreement is an upgrade only. A version of Windows must already be installed to your computer before running Windows XP Professional (upgrade).

NOTE: Windows XP Media Center is not upgradeable to Windows XP Professional. Windows XP Media Center is based on the Windows XP Professional operating system and includes most Windows XP Professional-specific features, such as Remote Desktop and the Encrypting File System; however, Media Center does not have the ability to join an Active Directory domain.


If I dont have a version of Windows already installed on my computer, can I use the Windows XP Professional (upgrade) to install a full version of Windows?

No. You must own and have installed a previous version of Windows. The Windows XP Professional that is offered through this agreement is an upgrade only.


Now that I have Windows XP Professional (upgrade) installed on my computer, do I need to keep my original Windows CDs?

Yes, you should keep your original Windows CDs as well as a backup (or two) of the Windows XP Professional Upgrade file. If your operating system ever becomes corrupt and it is necessary to reinstall Windows XP Professional, you will need both the original Windows version CD and the Windows XP Professional (upgrade) file to complete this task.


Is it necessary to activate the software to continue to use it?

If you purchase the software media to install the software from CD, it is necessary for you to activate the software in order to continue to use it. If you download the software from UW, it is not necessary for you to activate the software at this time.

If I have not activated the software, how many times can I boot into Windows or access an Office application before it fails?

You are not limited as to the number of times you can boot into Windows or access an Office application. Activation is based on a time limit; you have 30 days to activate a product before it will fail.


How many days do I have to activate an application?

If installing from CD, you must activate the application within 30 days of installing it.


What happens when Windows no longer works due to not activating the software?

Upon first starting up Windows, a message will appear stating: “This copy of Windows must be activated with Microsoft before you can log on. Do you want to activate Windows now?” If you select No, you will be logged back out of the computer. If you select Yes, the Activate Windows screen will appear, which will walk you through the activation process.


How do I activate Windows online?

You must already have an Internet or network connection configured on your computer in order to activate online. In the Activate Windows screen, select Yes, let’s activate Windows over the Internet now,  and click Next. Your computer will automatically connect to the Microsoft servers and activate the product.


How do I activate Windows over the phone?

In the Activate Windows screen, select Yes, I want to telephone a customer service representative to activate Windows, and click Next. You will be asked to input your location. After choosing a location, you will be provided with step-by-step instructions for activating the product over the phone. On the phone, you will be asked to read a series of numbers to an automated voice system. If the automated system fails to activate your product, you will be transferred to a live customer service representative to complete the activation process.


After initially activating my software, can I rebuild my computer and then reinstall and reactivate the software?

You may be able to reactivate your software but will need to contact Microsoft directly to do so. Additional information on product activation and contacting Microsoft can be found on the Microsoft Product Activation (www.microsoft.com/piracy/basics/activation) site.


After installing Microsoft Office or Microsoft Windows, how do I keep the software up-to-date?

You can go to the Microsoft Update site at http://update.microsoft.com any time to check for security or functional updates that may apply to the products you have installed. Additionally, you can select to turn on Automatic Updates, which will download and install the necessary updates at a time that you designate. I get an error about a Windows Installer file. How do I fix that?

Windows Installer is required to install some software packages. If your computer doesn’t have Windows Installer, use Windows Updates to get the latest installer, updates, and security patches from Microsoft. Vista users: go to Start – All Programs – Windows Update. When given the selection, choose to update optional components so that you are sure the Windows Installer is current. This should enable you to install Office Enterprise 2007 and other programs.


Who do I contact for support?

Personally owned home computers are not directly supported by Information Technology. However, IT may be able to assist you with your basic installation or usage questions through the IT Help Desk at 766-4357, option 1.

Alternately, there are various online and other resources available to you that may assist with your questions. A few suggestions follow:


Is it necessary to uninstall the software once I am no longer attending UW?

As outlined in the Terms and Conditions that you agreed to before attaining the software, upon graduation from UW, you will receive a Student Option Graduate Transfer of License Certificate allowing you to continue to use the software you attained through the UW Campus Agreement. You will rightfully own the software at that time.

If you do not graduate from UW, you must remove the software you attained through the UW Campus Agreement once you are no longer attending UW.


Once I graduate, how do I get the Graduate Transfer of License Certificate to allow me to continue to use the software I obtained through the Microsoft Campus Agreement for students?

Graduating students are eligible to transfer the temporary use license to a perpetual license that will allow them to continue to use the software. This means that graduating students will rightfully own the license of the version of software that they downloaded at no additional cost.

If a student downloads the software from UW servers and is listed by the Office of the Registrar as eligible for graduation, they can receive the Graduate Transfer of License Certificate by visiting https://software.uwyo.edu/gradlicense. Information Technology will e-mail eligible graduating students when the certificate is available. Only eligible graduating students will have access to the secure Web site. Once notification is sent, students will have access to the certificate site for up to one month after graduation. If a student has downloaded software and is eligible for graduation but does not receive notification via e-mail from Information Technology, they may check access to the site a couple of weeks prior to graduation. Graduates are required to print the confirmation of license transfer to keep for their records.
