Configure Outlook 2003 to Encrypt Data


The upgrade of UW’s Exchange Server to Exchange 2010 will require some software upgrades as well. Users who run Outlook 2003 will need to manually configure Outlook to encrypt the data that is sent between Outlook and the Exchange server. It is highly recommended that users upgrade to Office 2010 since Office 2003 is nearing end of life support from Microsoft. In situations where the user must continue to use Office 2003, follow these instructions to configure Outlook 2003 to work with the latest Exchange Server. If these steps are not taken, Outlook 2003 will cease to function.


  1. Determine which version of Outlook 2003 is being used.

    1. Open Outlook.
    2. Click on Help and then About Microsoft Outlook.
    3. In the first line of the About Microsoft Office Outlook window, look to see if SP3 is at the end. If it is, skip to Step 3. If it is not, continue to Step 2.
  2. Update Office 2003 to Service Pack 3.

    1. Close all windows because a reboot may be required.
    2. Open Internet Explorer.
    3. In the address bar, remove all contents, type in and press Enter.
    4. If a message suggesting that you need to update Windows Update appears, click Install Now and follow the prompts to update Windows Update.
    5. On the Welcome to Windows Update page, click Express.
    6. Follow the prompts to install the updates, rebooting if required.
    7. Repeat Step 2 until there are no more updates to install.
    8. Repeat Step 3 to verify Outlook 2003 has Service Pack 3.
  3. Configure Outlook 2003 to encrypt data sent to the Exchange server.

    1. Open Outlook
    2. Click on Tools and then Email Accounts…
    3. Verify View or change existing email accounts is selected, and click Next.
    4. Click Change.
    5. In the Exchange Server Settings window, click the More Settings button.
    6. In the Microsoft Exchange Server window, click the Security tab.
    7. Select the Encrypt data between Microsoft Office Outlook and Microsoft Exchange Server checkbox, and click OK.
    8. Click Next.and then Finish.
