System Access & Onboarding

In order to obtain basic access to WyoCloud, the university’s Financial Management and Human Capital Management System, all employees must complete training assigned to them through the Learning Management System, Oracle Learning Cloud, at the time of hire. After completing the required training, access is granted to the system by close of the following business day.  

Below you will find the listing of all different types of system access and onboarding trainings that are available and the links to take/sign-up for a training if not yet completed.

 

System Access (Online, Self-Paced, Training Materials)

Below outlines the assignment categories and the associated assigned and optional basic access training. 

Hourly Non-Benefited Employees

The Business Intelligence Dashboard has many useful reports on it. Most of these reports are role-restricted due to the sensitive information they contain. 

Restricted HR and Financial Management Reports

Certain Human Resources and Financial Management reports contain sensitive information, and as such, require specific training to access the reports. If you are unable to see a report that you believe you should have access to within your role (including Payroll with Fringe, Payroll without Fringe, and Payroll Funding), fill out the Access Request Form

Restricted Student Data Reports

Because of the sensitive information included in Student Data Reports, specific training must be taken before access can be granted. If you are unable to see a report that you beliece you should have access to within your role, inititate a service request by filling out the Access Request Form.

Training on the contract module is required prior to obtaining access. Any employee who has a responsibility to create, submit, or review contracts can search for and complete the training for access.
Training on the costing module is required prior to obtaining access. Decentralized Human Resources (DHRs) and Cost Center Approvers (CCAs) are typically the appropriate roles assigned to this training. This process is only used to change costing for the current period and going forward on costing changes with Graduate Assistants (GAs).
The Effort Compensation Compliance system (ECC) is the After-the-Fact effort reporting system used by the University for certifying that salaries charged or contributed to all sponsored projects are reasonable and consistent with the portion of total professional activity committed to the projects.No training is required for access. Specific positions/roles (i.e., Principal Investigator (PI), Accountant, or Business Manager) may require access and are assigned a role within ECC by the Office of Sponsored Programs.

Request for access should be emailed to ecc_help@uwyo.edu where the appropriateness of access will be reviewed.

Access to the Awards Management module is solely based on when an employee is assigned to a sponsored program/award (ex. Principal Investigator (PI) or Project Manager). Employees assigned to an award will only have access to those awards/projects within this module 

Enterprise Performance Management (EPM) is used to build budgets by approved budget managers across campus. Access is limited to a budget manager in each area. Once approved for access, the budget manager must complete training.

Instructor-Led Onboarding for Financial Positions

New employees with a financial position (ex. accountant, business manager, director, etc.) are required to complete a 4-hour instructor-led training to acquaint them with the financial policies and procedures at the university. This training will be assigned to them upon hire where they can sign up for the next available training.

Other employees who are not automatically assigned the training have the option to sign up for and attend a training session. This should be coordinated with your supervisor.
