Job Purpose:

Assists in managing the financial and personnel functions of the Bookstore; administer University Bookstore computer system; oversee accounting system and POS register system.

Minimum Qualifications

Education:

Bachelor's Degree

Experience:

2 years work-related experience

Knowledge, Skills, and Abilities

Knowledge of:

  • Retail sales and accounting practices.
  • University accounting system.
  • Computerized cash register and inventory systems.
  • Finance, accounting, budgeting, and cost control procedures.
  • Organizational structure, workflow, and operating procedures.
  • Federal and state financial regulations.
  • Public sector financial, accounting, and budgeting principles and procedures
  • University and/or public auditing policies, standards, and procedures.
  • Software to quantify and illustrate complex financial reports, comparisons, impacts, and/or projections.
  • Computerized information systems used in financial and/or accounting applications.
  • A range of automated financial systems and applications software.
  • Business practices and procedures.
  • Finance, accounting, budgeting, and cost control procedures.

Skills and Abilities to:

  • Maintain accurate and detailed financial records.
  • Effectively communicate, both orally and in writing.
  • Effectively supervise and communicate interpersonally.
  • Manage time to meet demanding deadlines.
  • Execute and integrate complex financial analyses and prepare comprehensive budget summaries and projections.
  • Analyze financial information and perform complex and advanced mathematical calculations.

  • Prepare financial reports.
  • Gather data, compile information, and prepare reports.
  • Maintain records.
  • Develop financial plans and manage resources.
  • Plan, implement, and administer financial information and control systems.
  • Examine and reengineer operations and procedures, formulating policy and developing and implementing new strategies and procedures.
  • Supervise and train staff, including organizing, prioritizing, and scheduling work assignments.

Characteristc Duties and Responsibilities

Essential Functions:

Assist with planning, directing and coordinating financial functions of the Bookstore as directed by the Manager.

Manage the operation of the Bookstore accounting office to include accounts payables, accounts receivables and POS cash register system; solving and correcting errors concerning billing as directed by the Manager.

Hire, train, supervise and evaluate designated support staff.

Assist in making budget recommendations.

Consult with Manager, Bookstore or Assistant Manager, Bookstore in formulating and implementing policies and procedures and evaluating existing policies.

Supplemental Functions:

Attend and represent the Bookstore at regional and national meetings; attend training sessions as directed. 

May act as Manager in the absence of the Manager, Bookstore or the Assistant Manager, Bookstore. 

Working Conditions:

No major sources of discomfort, standard office environment; may be required to work some evening and weekend hours. 

Distinguishing Features:

Supervisor, Financial Operations, Bookstore: Assists the Manager, Bookstore with financial and personnel functions of the Bookstore. Manages the Bookstore accounting office. Administers computerized cash register and inventory systems. Supervision is limited to support areas and does not include functional areas within the Bookstore. May act on behalf of the Manager in the absence of the Manager, Bookstore and Assistant Manager, Bookstore.

Assistant Manager, Bookstore: Assists the Manager, Bookstore with the operational, financial, personnel and merchandising functions of the Bookstore. Manages designated retail areas, including supervision of staff in each area. Assist Manager in evaluating, formulating and implementing policies and procedures. May act on behalf on Manager, Bookstore in their absence.
