Job Purpose:

Supervises the freight receipt, shipping and delivery of items to University locations; prepares outgoing freight for shipment. Advises departments on the most advantageous methods of shipping and receiving.

Minimum Qualifications

Education:

High School Diploma/GED

Experience:

4 years work-related experience

Required Licensure, Certification, Registration, or Other Requirements:

Valid commercial driver's license with hazardous materials endorsement

Knowledge, Skills, and Abilities

Knowledge of:

  • Shipping and receiving procedures required by various vendors.
  • National and international shipping and receiving regulations.
  • Insurance regulations for shipping and receiving.
  • Compliant and safe hazardous freight handling.
  • Communication methods, concepts, techniques and practices.
  • Problem resolution methods, techniques and practices.
  • Accounting, budget and payroll methods, concepts, practices and procedures.
  • Purchasing methods, techniques and procedures.
  • Inventory methods, concepts and techniques.
  • Time and project management methods, concepts and practices.
  • Records management methods, concepts and techniques.
  • Negotiation and pricing methods, concepts and techniques.
  • Applicable University, federal, state, and local laws, rules, regulations and procedures.

  • Maintain and manage shipping and receiving records including accounting and budget preparation.

  • Ensure security and safety of storage facility.
  • Maintain quality, safety and/or infection or other required control standards.
  • Operate light equipment including trucks, vans, fork lift and pallet jack.

  • Negotiate with carriers for best terms of pricing and service.
  • Foster a cooperative team work environment.

Characteristc Duties and Responsibilities

Essential Functions:

Supervise and participate in the operational activities of the designated area including assisting with preparation of reports and maintenance of area records; prepare production reports and formulate work schedules.

Develop and enforce security, safety, and department regulations and policies.

Manage the operational, personnel, and financial operations for the Shipping and Receiving area; determine and approve expenditures, balance accounts, maintain revenue account, maintain accounts receivable, and ensure bills are paid in a timely manner; assist with budget and salary planning; provide efficient customer services being responsive to the needs of campus customers in tracking materials, filing claims and meeting delivery schedules.

Supervise and inspect work activities of assigned personnel; set up work schedules and daily operations; oversee cleaning and routine maintenance of equipment and work area.

Ensure the proper pickup and delivery of supplies, equipment, catered or other goods to other departments or locations.

Ensure all required documentation is complete and timely.

Supervise receipt of freight and check for damaged or defective goods;

Prepare domestic and/or international shipping and freight bills; determine most efficient means of shipment.

Prepare delivery memos; maintain records.

Negotiate with carriers for best terms of pricing and service.

Consult with departments on the best shipping methods.

Supplemental Functions:

Monitor inventory levels and reorder, as required.

Working Conditions:

Warehouse/outdoor environment; regular driving of delivery vehicle; exposed to temperature changes regularly; exposed to moving mechanical equipment parts, noise, dust and dirt; and regularly exposed to hazardous freight.
