Cancellation Information


Contract Cancellation

Non-freshmen, or those exempt from the requirements to live on campus, may cancel their academic-year contract at any time prior to 5:00pm on June 30, 2009. Students who applied for the spring semester only must cancel before January 4, 2010. All cancellations must be in writing. Deposits will be refunded based on the receipt of your written contract cancellation request in the Residence Life & Dining Services office and per refund policy.


Deposit Refunds

  1. If written cancellation of the contract is received before June 30, 2009 at 5:00pm, 75% of the deposit will be refunded. If written cancellation of the contract is received on or after July 1, 2009, the entire deposit is forfeited. Contracts may not be cancelled on or after July 1, 2009 without a Contract Release being granted (see Contract Release below).

  2. For spring semester only contracts, the contract must be canceled prior to January 4, 2010 to be refunded 75% of the deposit. No deposit will be refunded on or after January 5, 2010. Contracts may not be cancelled on or after January 5, 2010 without a Contract Release being granted (see Contract Release below).

  3. Any exceptions to this policy must be approved by the Director of Residence Life & Dining Services or his/her designated administrator. The entire deposit is forfeited in the event you are evicted for disciplinary or financial reasons from the residence halls or dining services.


Exemption to New Student Live-In Policy

Exemption forms are available at the Residence Life & Dining Services Office. You may also write or call to receive the form. You will receive written notice when your exemption has been reviewed. 75 percent of the deposit will be refunded upon contract exemption approval.


Contract release

After June 30, 2009, you must be officially released, in writing, from your UW Residence Life & Dining Services Contract in order to discontinue room and Dining Plan charges. Procedures for release are available in the Residence Life & Dining Services office. Requests for release must be completed and submitted to the Director of Residence Life & Dining Services for review and response. This policy may be appealed under guidelines established by the President or his/her designee. Failure to use the room and/or Dining Plan does not automatically release you from this contract and its financial obligations. 75 percent of the deposit will be refunded upon contract release.


Greek Waiver

The Greek waiver is defined as the suspension of a resident's obligation to their Residence Halls and/or Dining Services contract and is allowed upon petition to the Office of Student Life. A successful petition is confirmed by the signature of the Office of Student Life, Greek Adviser and Residence Life & Dining Services designees on the Fraternity/Sorority Residence Hall and Dining Service Exception Request and the Residence Halls Change of Status form. All charges for room and/or Dining Plan will continue until signed approval by the Residence Life & Dining Services and check out (per procedures) of residence hall facilities has occurred. 75 percent of the deposit will be refunded.


Contract Buyout Policy

Non-freshmen, or those exempt from the requirements to live on campus, may choose to terminate this contract by paying 50 percent of remaining financial obligation of academic year room and Dining Plan charges. Application of this policy may be appealed under guidelines established by the President or his/her designee. The entire deposit is forfeited.


Disciplinary Eviction

If you are evicted from the residence halls for disciplinary reasons, you may be responsible for paying all outstanding room and Dining Plan charges.
Eviction may take place immediately upon notice. The entire deposit is forfeited.


Non-payment Eviction

If you are evicted from the residence halls or dining services for non-payment of contract charges, but remain enrolled at the University of Wyoming, you are responsible for paying all remaining room and board charges for the contract period and properly checking out of your residence hall. Eviction may take place immediately upon notice. The entire deposit is forfeited.


Withdrawal from the University

If you withdraw or are suspended from the University, you must initiate the process with the Office of Student Life and officially check out of your residence hall within 24 hours of the withdrawal date. When calculating costs on the withdrawal form, Accounts Receivable adds 24 hours to the total time to allow for move-out. The unused portion of the room and Dining Plan charges will be credited to your account and will be based on the date you officially checked out of your residence hall. 75 percent of the deposit will be refunded.


Graduation, Exchange Programs, Internships, Student Teaching

If you cancel your contract due to graduation, exchange programs, student teaching and/or internships outside of Laramie, Wyoming, you will have your contract terminated. 100 percent of the deposit will be refunded.

Note: Students participating in the College of Education Phase IIIA practicum MUST contact the Director of Residence Life & Dining Services to submit a request for eligibility for special accommodations.
