Rolling Registration Process

As communicated late last spring, the RSO Renewal Process is changing this academic year. Effective Fall 2017 there will not be established deadlines for your organization to be recognized by the university. Instead, your student organization will remain unrecognized until all of the requirements are competed (temporary recognition is granted for the first few weeks of school to participate in such programs as the RSO Club & Org Fair, schedule regular standing meetings for the first month of the semester, etc. -- but groups must be recognized in order to host events, get access to certain services and request funding for ASUW for events and conference registration). This means it is up to your RSO to complete all of the requirements in a timely manner. Your RSO will not receive any RSO services until all of the renewal requirements have been completed. For instance, groups that have scheduled meetings for an entire semester, but fail to complete renewal requirements may see their reservations be canceled as our event service providers, such as Central Scheduling and other venue managers, have access to your status as an RSO at any given time during the year. 

Rolling registration will run from early/mid-August to early April on an annual basis and will close during the last part of the semester and into the summer as the CAC staff reviews and updates services/content for the following year.

Why this change? In an effort to better assist organizations, we decided to eliminate deadlines. Different colleges enroll at different times throughout the academic year and those groups, and others, were unable to meet the required dates. It is now up to the organization to ensure it has completed its requirements for when it wishes to be recognized to receive benefits and services at the University. 

UW Connect Open Renewal Registration Dates for the 2017-18 Academic Year: Monday, August 7th - Friday, April 6th

Online Training Modules

Each of your required RSO officer positions (President, Vice President, Secretary, and Treasurer) will have to complete online training modules specific to their positions. The training modules will also include an event planning training, which is only required if your RSO plans soliciting funds from ASUW for your programs.  To become recognized by the University of Wyoming each required officer position of your RSO must complete the entire training (watch a video that varies in length from 15-35 minutes) and pass the 10 question quiz that follows with at least an 80%.  Each quiz can be taken up to three times. Once your registration has been approved via UW Connect we will invite the officers listed on your roster to join the Wyo Courses ‘UW Connect Training (RSO)’.

Advisor Agreements

Per UW Regulation 8-234, RSOs are required to have at least one (1) full-time faculty or staff member act as an advisor to the RSO. As part of this requirement the CAC requires verification of employment and that the advisor agrees to serve as advisor. Advisor Agreements are available here and will be live to submit starting Monday, August 7th.

CAC Open Labs

The CAC will have open lab/walk-in support if you need assistance accessing any portion of the RSO renewal process. We'll have computers you can use and be able to assist you in person. These hours are as follows for the fall 2017 semester:

Mondays: 2:00pm -4:00pm
Thursdays: 2:00pm -4:00pm

RSO Renewal Status Updates

On a weekly basis, the CAC will be publishing a list that outlines the status of each RSO and if they are considered active or what requirements are still missing. This will be available on our website (see link at top of page) and the link will be sent to RSO Officers, Advisors, Event Service Providers and Venue Managers.

With all of these changes, to renew for the upcoming 2017-18 academic year, RSOs will need to complete the following requirements to be recognized:
  1. An RSO Officer must complete the registration on UW Connect (the new Collegiate Link)  when the registration opens -- starting Monday, August 7th. 
              a. A guide to help you with this process is available here and here.
              b. Please note that whichever officer completes this process is listed as the primary organization contact for the upcoming year. More info on that here.
              c. Information to have on hand to complete registration:
                  - Names and UWYO email addresses of the four (4) required officers (President, Vice President, Secretary, Treasurer)
                  - Phone numbers for the President and Vice President
                  - Names and UWYO email addresses of at least three (3) other student members of your RSO
                  - Name, phone number, and UWYO email address of the RSO full time faculty/staff advisor
                  - Know how the RSO manages its finances (i.e. UW Foundation account, checking acct, no finances)
                  - Know if the RSO needs a mailbox in the CAC or be able to provide RSO mailing address
              d. If you experience issues with registration or any error messages, please take a screen shot of the issue and email documentation to us at
  2. Your RSO advisor must submit their annual advisor agreement -- available here starting Monday, August 7th. 
  3. Each officer will have to complete their respective online training modules -- your RSO registration must be approved prior to gaining access to the WyoCourses trainings. Training modules are setup for each officer required by the University – President, Vice President, Secretary, and Treasurer. RSO Officers will be sent invites to their training after the UW Connect registration is approved by the CAC. There is a video to watch and then a quiz of 10 questions, of which, you must get 8 questions correct to pass. If the RSO intends to solicit ASUW for funding, they must also take the Event Planning module also found on the same WyoCourses page. Any officer may take this training.
