Shipping Request Forms

Shipping and Receiving Schedule
- 8:00 am - Calls made for freight delivery, delivery of freight
- 10:00 am - UPS arrives at General Storage building
- 11:00 am - FedEx arrives at General Storage building
- 12:00 - 1:00 pm - Closed for unloading trucks
- 12:15 pm - Deadline for pick-up call ins
- 12:30 pm - Truck leaves for campus pickup/delivery
- 3:00 pm - Outgoing packages processed for shipping
- 4:00 pm - Closed for the day
Incoming Packages
- Only one drop-off/pickup location is allowed per department.
- S&R cannot open or unpack any packages arriving at the University.
- S&R does not receive incoming packages directly from vendors.
- No personal packages will be accepted at S&R.
- If a package is opened it cannot be refused. The department will have to pay for the
package to be sent back.
Tips for receiving a shipment correctly and on-time
- Ensure the shipper includes the following information on your package
- Department Name and Recipient
- University of Wyoming
- 16th & Gibbon
- Laramie, WY 82071
- Additionally, the following reference info may help ensure your package arrives correctly
- Purchase Order Number
- University PO Box
- Telephone Number
- Shipping and Receiving cannot store any packages in our warehouse
Outgoing Packages
Warning - If you are shipping hazardous materials of any kind, please visit the UW Safety Office RMMC page for information.
Note: Shipping and Receiving does NOT handle personal packages.
To send a shipment
- Prepare the package for shipping
- Sturdy box or envelope
- Make sure box and/or envelope are packed sufficiently
- Should not be able to shake the package contents
- Please do not over pack a box with heavy books
- Tape bottom, top, and sides of box to ensure contents remain in place
- Download and complete the appropriate Shipping Request Form from above
International Shipments
- The shipments of items, software and technology from the United States to a foreign
country, must comply with export control laws and regulations. These laws and regulations
may require UW to obtain an export license. All UW personnel who engage in international
shipping are responsible for ensuring compliance with U.S. export control laws and
regulations. Prior to preparing your shipment, contact the UW Export Compliance Officer
at (export@uwyo.edu or 766-2089) for assistance in evaluating if the export is in compliance with export
control laws and regulations or whether additional action may be necessary.
- All couriers will send the shipment in approximately the same time
- Provide a very detailed description as to the contents of the package(s)
- Enables S&R to obtain the correct documents for shipment
- There are no "overnight" options for international shipments
- A recipient phone number is REQUIRED for international shipments
Insurance
- FedEx, UPS and DHL packages are automatically insured for $100.00
- Only insure package for the replacement value
- CANNOT insure airline tickets or checks for their amount
- Same for "grant" applications
- Insurance claims for damage will require supporting paperwork for the value declared
(invoice, receipt, etc)
- Contact S&R for any unusual or high-value items you may want to ship
- Some items, like fine art, cannot be insured though shipping companies
- May need to insure through the Risk Management Office
- Claims should be reported within 10 days of delivery
- If you receive damaged package, contact shipper immediately
- Shipper must file claim with the courier
- Claims do NOT reimburse for re-shipping, only for the original cost of shipping
- Do NOT discard any packaging, or associated items, related to a damaged shipment claim
until directed to by the courier or Shipping and Receiving
- If a claim is processed, damaged packages become the property of the courier
3rd Party Billing
- If billing the recipient, or a 3rd party, include the courier account number on the
Shipping Request Form above
- If the account number is not accepted, or is incorrect, your department will be billed
for the package, plus a re-bill fee
- If using a return label created by someone else, please ensure your department is
listed in the "sender" portion of the label
Call Tags
A call tag is a pre-addressed label sent by a company to pay for the shipping costs
back to them.
Call Tag Process
- S&R receives a call tag from UPS, FedEx, DHL, etc.
- S&R will contact UW employee to check if they have the package and it's ready to ship
- UW Employee has approximately three days to prepare a call tag package
- A Shipping Request Form does NOT need to be submitted for Call Tag shipments
- The department will NOT be billed for Call Tag shipments
Missing Packages
- If you are missing a package, contact the entity who shipped the package and get the
courier, tracking number, and ship date.
- Shipping and Receiving will use this information to determine if package was received
by S&R, and if so, assist in finding the package's location on campus
