University of Wyoming personnel wishing to reserve space in the Wyoming Union for the 2023-24 academic year can do so beginning Monday, March 20, through Friday, April 21.
The priority scheduling timeline and a brief explanation of how the process works are included in the link.
Requests will not be finalized until confirmation is sent after the fifth week of priority scheduling. Those receiving scheduling confirmation are asked to review the application to ensure that all reservation information is correct.
“When submitting a request, it also is recommended to provide alternative dates and locations if the first request cannot be accommodated,” says Quinn Marquardt, Wyoming Union associate director of operations. “Even if the full details of the event are uncertain, a request to reserve the space is still encouraged.”
All events and add-ons will be charged according to the FY24 Business Fee Book. UW departments will be assessed a $25 per hour setup and tear-down fee for events held in the Wyoming Union Ballroom, Family Room or any space that requires setup that is not standard. Marquardt says that most events can be set up and torn down within an hour.
Rates for ballroom rentals will remain the same for nonprofit and commercial groups.
Because the Wyoming Union Events Office is student fee funded, UW student organizations will not be charged for space use. Marquardt urges those requesting to reserve space in the Wyoming Union for the next academic year review the priority scheduling timeline document before submitting a priority scheduling request.
