Planning Events At The University of Wyoming

Risk Management reviews events to ensure that the events have required permits and insurance. Events may also be reviewed by other University Departments for other requirements. Typically, events can be classified into Student Organization Events, UW Department Events, or Third-Party (non-UW) Events on Campus. See below for more information about each type of event. If an event will include Minors, it must also comply with the Minors on Campus Policy.


Event Types

Students and SOs need to email Risk Management when planning events with the following information:

  • If food will be served,
  • if alcohol will be served,
  • what type of activities, and
  • where the event will be located.

All SOs need to work with the Campus Activities Center and register the event through Cowbell at least 10 business days prior to the event.

If you are looking to plan an event at a University of Wyoming facility, please email Risk Management with the following information:

  • If food will be served,
  • if alcohol will be served,
  • what type of activities,
  • date and times,
  • number of participants, and
  • where the event will be located.

University facilities can be scheduled through Central Scheduling, the Union, and Residence Life and food should be served by UW or using an approved caterer with the required insurance.

 

Alcohol at Events

  • Must comply with the campus alcohol policy (currently under revision).
  • Events serving alcohol require liquor liability insurance.
  • Alcohol and liquor liability insurance cannot be paid for with University funds.
  • If the caterer is not serving alcohol or cannot provide proof of liquor liability insurance, additional insurance may be required as determined by Risk Management. Depending on the event's nature and participants,
  • Risk Management may also require participants to sign a liability waiver (depending on the event), which they will provide.

 

*If the department is required to purchase event insurance (determined by Risk Management), it can be done through the event insurance website. Risk Management can assist with the process.

If you are looking to plan an event off-campus, please email Risk Management with the following information:

  • If food will be served,
  • if alcohol will be served,
  • what type of activities,
  • date and times,
  • number of participants, and
  • where the event will be located.

If a permit or contract is required by the facility, follow General Counsel’s guidelines for contract approval. If the facility requires a certificate of insurance, refer to the instructions in the insurance section of the Risk Management website.

 

Alcohol at Events

  • The University does not provide liquor liability insurance but can assist in obtaining the necessary coverage.
  • Alcohol and liquor liability insurance cannot be paid for with University funds.
  • Risk Management may also require participants to sign a liability waiver (depending on the event), which they will provide.

Events hosted by external parties must have a facilities use agreement, which is managed by Central Scheduling, Residence Life, Athletics, or other relevant departments.

Liability Insurance is required for all events hosted by outside entities. The insurance can be purchased through the insurance vendor of your choice. The University of Wyoming must be named as additional insured on all special event policies, and the limits must be no less than $1,000,000 per occurrence.

The University of Wyoming is a member of the University Risk and Insurance Management Association and the required insurance may be purchased through their TULIP program through Gallagher EventPro.


Minors on Campus Policy

The University of Wyoming is committed to the safety, protection, and wellbeing of minors who participate in University-sponsored or University-approved Programs.  To facilitate the safety, of minors on campus, the University has implemented a Policy to establish minimum requirements with which all University-sponsored or University-approved programs in which minors participate must comply without regard to the location of Program activities.  The Policy applies to all programs on University owned or controlled property and all programs hosted by UW departments regardless of location.
