Chart of Accounts

The Chart of Accounts represents the structure through which financial transaction data is organized and reported. UW’s Chart of Accounts structure consists of eight General Ledger Chart Segments.  Below you will find links to the documentation on the new CoA.

  • COA User Guide (rev. 7/1)  Contains descriptions of all of the segments in the CoA and instructions for the use of the crosswalks
  • Expense Account Descriptions (rev. 10-9) – Contains descriptions of expense accounts that are used for coding transactions in the system
  • Fund/Org Crosswalk (rev. 6/23) – Contains a full listing of the current Pistol Fund/Org combinations mapped to their new values in the WyoCloud Chart of Accounts. See instructions on the first tab of the spreadsheet.
  • CoA Segment Values – Separate sheet for each segment of the new chart of accounts, listing the available values in the system.  These will be updated periodically as new segment values are added to the system.
  • Natural Account Codes with Expenditure Classification Rollups  Per University Regulation 7-1, University's Operating Budget, there are six expenditure classifications. This document provides the listing of all natural accounts and what classification they roll up to.
  • POET Information Expenditures on grants and projects will run through the Project Portfolio Management (PPM) module of the WyoCloud system and will be coded with only four segment values.  The acronym POET stands for the four segments – Project, Organization, Expense type, and Task. 
  • Cost Center Approvers A full list of cost center approvers (Updated 06/14/2022).
  • Expense Item Natural Account Codes Crosswalk - this document explains which natural account codes to use for each expense item type.

How are my Sponsored Grants, Research Funds, and Capital Projects tracked in WyoCloud?


The Project Portfolio Management module in WyoCloud tracks grants, research funds, and capital projects for project financial management and reporting. Each is assigned a unique project number. When you enter the project number and other information, the Chart of Accounts will automatically populate.

A grant expenditures crosswalk to natural account codes has been created to assist you as you work between the subledger and general ledger. 

The Chart of Account information resides in the General Ledger, while project and transactional details are in the subledger.
