When do I get paid? Top
Generally, part-time hourly non-benefited employees are paid on the 15th of every month and the last working day of the month. Full-time benefited faculty and staff, lump sum, and graduate assistants are paid on the last working day of the month. There are exceptions to this, so please check the "Pay Dates" link for updated information. If you are unsure as to which employee category you fall under, contact your department or call the Payroll Office at 307-766-2217.
Can I pick up my paycheck instead of having it mailed? Top
No. All regular payroll checks are mailed or directly deposited. NO EXCEPTIONS. If you are having problems receiving your check or direct deposit, please notify the Payroll Office as soon as possible. Many times, your mailing address will need to be updated or account information corrected.
My paychecks are being mailed to the wrong address. Top
Paychecks WILL NOT be forwarded by the post office, so you need to change your address with Human Resources or the Payroll Office as soon as you know you are moving to prevent any delay in receiving your pay. You can also change your address through Employee Self Service in the Administrative Systems channel under My Workplace tab in WyoWeb.
To simplify things, you may wish to sign up for direct deposit.
How do I obtain copies of previous paycheck stubs? Top
Paycheck stubs can be viewed and printed from Employee Self Service in the Administrative Systems channel under the My Workplace tab in WyoWeb. If you are having difficulty accessing your payroll information on Employee Self Service, please contact the Payroll Office at (307) 766-2217.
How do I change the address where my paystubs/paychecks/W-2's are mailed? Top
Paychecks and stubs are NOT forwarded by the post office, so address changes need to be made as soon as possible. Personal Data Change Forms are located in the Payroll Office (139 Wyoming Hall) and the Human Resources Office (139 Wyoming Hall) or on both offices' websites. (On the Human Resources Website, click on the "Departmental Forms" link and then select "Personal Data Change Form.") You can also change your address in Employee Self Service in the Administrative Systems channel under the My Workplace tab in WyoWeb.
How do I enroll in, stop, or change my direct deposit? Top
A direct deposit form is available on the Payroll and HR websites or in either of these offices. You may access the form on this website by clicking on the "Departmental Forms" link. Please notify the Payroll Office immediately of any changes to your direct deposit account.
If I change positions, do I need to fill out a new direct deposit form? Top
No, not unless you need to make changes to the direct deposit account. Your direct deposit information remains on file until you cancel it or until the effective end date you noted when you originally signed up.
What banks can I use for direct deposit? Top
You may use any bank in the U. S. that accepts direct deposit.
What happens if I terminate employment with UW and am then rehired? Will my direct deposit remain active? Top
If you terminate employment and then are rehired at a later date, do not assume that your direct deposit is still active. Please contact the Payroll Office at 307-766-2217 to determine whether you will need to resubmit a direct deposit form.
How do I change my tax status (W-4) and how often can it be changed? Top
You may fill out a new W-4 in the Payroll Office, or print one off of the website and bring it to 139 Wyoming Hall.
W-4 information can also be updated on Employee Self Service in the Administrative Systems channel under the My Workplace tab in WyoWeb. If you are having difficulty accessing your payroll information on Employee Self Service, please contact the Payroll Office at (307) 766-2217.
W-4 forms/updates are due 10 days prior to the pay date you would like it to be in effect.
W-4's may be changed as often as necessary.
Can the Payroll Office staff help me fill out my W-4? Top
The Payroll Office staff is happy to answer general questions regarding form W-4. However, we are unable to give tax advice or suggestions on how many withholding allowances to claim. For assistance with these or other tax related questions, we suggest you consult the IRS website (www.irs.gov ) or a personal tax advisor.
What happens if I do not fill out a W-4? Top
All Employees are required to fill out a W-4. Until you do, your tax status will default to "Single" status with zero withholding allowances.
Can I claim "Exempt" on my W-4? Top
If you meet the criteria listed on the W-4, you may claim "exempt." You will, however, need to fill out a new W-4 in January of each year to continue your exempt status. Employees claiming "exempt" who do not fill out a new W-4 each January will default to a status of "Single" with zero withholding allowances.
I am an international student employee. How do I fill out my W-4? Top
International student employees need to meet with Sarah Hintz in Taxes and Investments to determine tax status. Please call Sara at 766-2821 or email her at firstname.lastname@example.org to schedule an appointment. Her office is located in 317 Old Main.
I lost or did not receive my W-2 form for last year. Can I get a copy? Top
W-2's are mailed by January 31st each calendar year. We rely on employees to ensure that we have their correct mailing address and to keep these important tax documents safe upon receipt. If, however, you did not receive or have misplaced your W-2 please contact the Payroll Office at 307-766-2217 to obtain a reissued statement. You can also request a reprinted W-2 through Employee Self Service in the Administrative Systems channel under the My Workplace tab in WyoWeb.
