How to Submit an Excused Absence Request

Students requesting an excused absence must submit a formal request that includes the student’s W-number(s) in the format W00000000.

All absence requests and supporting documentation must be submitted within two weeks of the first day of absence. Requests submitted after this deadline will be denied.

Please note that processing times may vary depending on request volume and may take several business days.

Faculty guidance on managing student absences is available in the Guidelines on Managing Student Absences and the Student Attendance Policy.

If an absence is approved:

  • The student will receive a signed PDF letter via email.
  • The letter serves as official documentation and must be shared with affected instructors.
  • The letter will not include specific details about the reason for the absence.
  • Instructors are expected to provide students a reasonable opportunity to make up missed coursework or activities, regardless of course format or modality.

Once approved, students must notify instructors:

  • At least 24 hours in advance, when possible, or
  • As soon as practicable after the absence, except in emergencies or during official university closures.

Faculty and staff requesting a group excused absence for official university activities or functions should submit the request at least one week in advance to allow adequate processing time.
