DELIVERING MORE EFFICIENT SERVICE TO YOU

The UW Foundation Information Services department has been working on ways to help you better access your data and to do so in a timely manner. We are excited to help ease the burden when requesting lists for recurring invitations, newsletters, and more.

To take advantage of this new service, when requesting fresh data on a previously delivered list, send an email to fdn-data-requests@uwyo.edu and include the ticket number from your original request and ask for the list to be refreshed. You can also just reply to your original ticket with this request as well. Please keep in mind that requests take a minimum of two weeks.

A few reminders regarding data that you receive from the foundation. If you request a list for contact purposes (such as invitations to an event or a newsletter to be sent out) and you haven’t made your contact within two weeks of receiving your list, please ask us to refresh it for you.

 

WHY DO I NEED TO REFRESH MY DATA?

A lot can happen in a couple weeks (people can call in asking to be removed from mailing lists, they can pass away, they can move, etc.), and it is much better to be working with fresh data rather than risk contacting someone who should not be contacted.

 

THE PITFALLS OF USING YOUR OWN MAIL LIST

Given how critical it is to respect the wishes of our donors and alumni, we encourage you to use the Foundation as your system of record for contact information for your donors and alumni. Beyond respecting our constituents, using the Foundation for your contacts, rather than maintaining your own separate spreadsheet or database, is to your benefit as well. The Foundation’s operation is built on having current contact information, so we invest time and resources to keep this information up-to-date. Using the data request process means you will have access to the most current data.

If you are maintaining your own database/spreadsheet, you won’t always be notified if someone’s contact preference has changed, or if their information has been updated. The refresh policy should make pulling the same list from us easier and should alleviate the need for you to maintain your own contact information spreadsheet.
