Student Organizations

Student Organizations add to the vibrancy and make the University of Wyoming so special. Whether a group is tabling in the breezeway of the Wyoming Union or participating in a national competition, our 200 student organizations provide a benefit to the UW Community.

Participation in various activities and clubs offered through our office help students build greater networks and deeper friendships, find greater enjoyment and connection at UW, perform better in the classroom, and build skills that make them more marketable in the workforce.

The information below captures the range of services and support that Student Orgs and Entertainment (Union room 012) provides to our student groups. We aim to be the one-stop shop for student organization needs. We do this by hosting workshops and leadership training for student org. officers and members, rent equipment to help make student org experiences more fun and complete, and offer specialized assistance and consultation to help student organizations’ membership and their events be the best they can be.

Spring 2023 Involvement Fest-Sign Up Today! 

Student Orgs make sure to sign up today for our annual spring Involvement Fest happening on Feb. 7th. 2023 from 11:00 AM-1:00 PM. Complete the form below to secure your spot. Signs-ups close Jan. 31st by 5:00 PM

Student Orgs that didn’t complete the annual re-registration process, will need to schedule a meeting with the Student Orgs Coordinator to re-active and update their appropriate information on their portal.

Student Orgs NOT Re-Registered by Nov. 16th 

Student Orgs who have yet to complete the transition (re-registration) process for 2022-2023 will see limited services and will have their Cowbell Portal deactivated from the active roster list beginning on November 16th at 8:00 A.M. 

Once deactivated, your organization will need to schedule a meeting with the Student Orgs Coordinator to re-active your student org and become compliant for the 2022-2023 year.

    • First Run-Aug. 12th 
    • Last Run- Dec. 2nd
      • No Run on Nov. 25th
  • Spring 2023
    • First Run-Jan. 13th
    • Last Run- April 28th
      • No Run on Mar. 17th 

Student Organization Classifications

  • Level 1


    Level 1 Student Organization is the designation given to a Student Organization that has demonstrated its primary mission is for the benefit of its organization’s members. Level 1 Student Organizations are a separate legal entity and operate under the direction and control of its own members.

    Benefits

    • UW Connect page
    • Access to equipment rental, poster room, staff advising, and marketing resources, which includes poster run, digital signage boards, etc.
    • Participate in workshops, trainings, and leadership opportunities
    • Host events and meetings on University of Wyoming grounds and buildings
    • Permitted to use the Steamboat (bucking horse) logo for publicity and news releases in alignment with the Brands Standards Manual and Trademark & Licensing guidelines
    • Execute the organization’s own contracts
    • May enter into sponsorship agreements with campus departments and programs to access support and resources, including ASUW Funding
    • Access to on-campus mailbox and storage, as space permits

    Limitations

    • Comply with travel and events registration requirements with the University
    • May not use the “University of Wyoming” before the organizations name but is permitted refer to its organization as Wyoming [Insert Organization] or [Insert Organization] at the University of Wyoming
    • Operates its own Tax Identification Number and completes all necessary IRS documentation
  • Level 2


    Level 2 Student Organizations is the designation given to a Student Organization that has demonstrated its purpose to be both aligned with to the mission and culture of the University and the benefit of the members internal to the organization.

    Benefits

    • All Level 1 benefits plus
    • Support from the University regarding risk management and contract review.
    • May use the "University of Wyoming" name before the Student Organization name
    • Permitted to use University trademarks and insignia for publicity and news releases in alignment with the Brands Standards Manual and Trademark & Licensing guidelines.
    • Host funds in the UW Foundation (commonly referred to as a foundation account

    Additional Expectations

    • Designate an advisor that is a full-time member of the staff/faculty of the University
    • Comply with travel and events registration requirements with the University
    • Establish an Operations Guide
    • If connected to a University program or organization, the Student Organization must comply with all policies, rules, and procedures of the sponsored University program



  • Level 3


    Level 3 Student Organizations is the designation given to a Student Organization that has demonstrated purpose that contributes and is intertwined to the mission and or traditions of the University.

    Benefits

    • All Level 1 and 2 benefits plus
    • An advisor, which has advising of the organization in their official university job responsibilities.
    • Designated space for meeting, events, and/or storage.

    Additional Expectations

    • Designate an existing or add an additional officer to manage risk
    • Establish an Operations Guide
