Rental Equipment Policies
I understand that the foregoing risks cannot be eliminated without jeopardizing the essential qualities of the activity and assume those not under the control of University staff. I expressly agree to accept and assume all risks of the activity for which the University equipment will be used. My participation in this activity is purely voluntary, and I elect to use the University’s equipment and participate in said activity in spite of these risks.
I acknowledge that the University has made no representations concerning my ability to safely use the rented equipment, and no representations or recommendations concerning the appropriateness of my proposed activity. I understand that l am solely and fully responsible for the selection of my proposed activity, including its appropriateness for my level of skill and experience.
I assume the risk of any defect in design or use and have the responsibility to examine the equipment prior to accepting it. I acknowledge that there are no warranties applicable to the equipment rented whether expressed or implied. Additionally, participating in sports and recreational activities increases the likelihood of contracting COVID 19 as well as other contagions.
I hereby waive, release and forever discharge, and agree not to claim against the Board of Trustees of the University of Wyoming, its trustees, officers, employees, agents, representatives, instructors, and volunteers for any injuries, damages, costs, expenses or attorney fees. I further agree to defend, indemnify and hold the Board of Trustees of the University of Wyoming, its trustees, officers, employees, agents, representatives, instructors, and volunteers harmless from and against any and all claims, demands, expenses, attorney fees, costs or causes of action connected with or arising from my participation in this activity and use of University equipment.
Rental equipment is only available to University of Wyoming students, faculty, staff, and dependents and spouses with a valid WyoOne card. Renters must be age 18 or older. The user who makes the reservation, must be the renter who picks up and pays for the equipment. Furthermore, the equipment must be returned by the user who rented it. It will not be accepted by anyone else. If a student wishes to rent duplicates of a single item, they will be charged the student rate for the first item and the faculty/staff rate for the duplicate items.
A valid credit or debit card (Visa, MasterCard or Discover) is required to rent equipment. We accept credit or debit cards (Visa, MasterCard, or Discover) for payment.
Late fees begin the day after the equipment is due back. Renters are charged a $5 fee for each day (bike rentals will be charged 1/2 the semester rate per week) the equipment is late and continue to accrue until the equipment is returned.
Renters will be charged for the repair and shipping of damaged equipment. If the item(s) are damaged beyond repair, lost, or stolen, the renter will be charged the full retail replacement cost.
When parking an Outdoor Program bicycle, you MUST lock the bicycle securely. Users are fully responsible for the full retail replacement cost for any lost or stolen bicycle.
Rental users must abide by all pertinent local, state, and federal laws. This includes but is not limited to bicycle helmets, fishing licenses, watercraft inspection, and trespassing.
The rental user is solely responsible for loading and securing the rental equipment to their vehicle. Under no circumstances can or will an Outdoor Program staff member assist once the equipment leaves our facility. All necessary straps and padding will be provided to safely secure watercraft to the rental user’s vehicle.
A cleaning fee of $20 will be charged for each item that is returned dirty or wet.
Please do not launder sleeping bags or wash tents without specific directions from staff as it may damage the items if done so incorrectly.
Failure to return, pay late, damage, or cleaning fees will result in the indefinite loss of rental privileges until full payment is received. After 90 days of delinquency, the Outdoor Program will submit any outstanding fees (including equipment replacement) to your student account for payment. Access to Half Acre Recreation and Wellness Center and future renting privileges may be revoked or suspended until payment and equipment are received.
No refunds are made for equipment that is rented but not used. Renters accept equipment “as-is" by signing this agreement.
As of July 1st, 2023, all Campus Recreation Refund Requestors will have 30 days from the date of request to claim and process their refund. Refunds can be claimed and processed in-person at the Half Acre Front during hours of operation. Any Requestor who is unable to claim their refund in person, must notify Campus Recreation within the 30 days for refunds to be processed through the University of Wyoming Cashier’s Office. Any unclaimed refunds after the 30 days will be forfeited. Notice can be sent to halfacre@uwyo.edu.
