Reservations

Thank you for your interest in hosting an event or displaying your advertisement in the Wyoming Union! Below you will find pertinent information for any reservation, our online request forms, and a link to our Event Planning page with resources to everything you need to plan a successful event!

 

To make a reservation, please utilize the resources below. If you have questions or concerns, please contact the Events Office at (307) 766-3161.

Please note, all events and add-ons will be charged in accordance with the FY26 Business Fee Book. UW departments will be assessed a $25.00/hour set-up and tear-down fee for events held in the Ballrooms, Family Room, or any space that requires a set up that is not the standard. (Most events can be set up and torn down within one hour.) As the Union Events Office is student fee funded, student organizations will not be charged for space use unless they are charging admissions fees to their event(s).

There are 10 breezeway tables, 4 banners, 8 sandwich boards, and 6 signs per tabletop available to you to use in the Wyoming Union.

Scheduling Available for FY26

Scheduling for 2025-2026 school year

Reservations are now being accepted through August 21, 2026.  

Additional considerations related to reservations and hosting events in the Wyoming Union include:

• If there is a need for the building to be open outside of normal operating hours, the fee is $50.00 per hour and applies to all reservations.

• Reservations for the Yellowstone Ballroom (East, Center, and/or, West) and the Family Room will be made through a Ballroom Request Form. Staff will process requests in the order they are received and confirmations will be shared accordingly.

• Users can now book their own meeting rooms (Big Horn, Warm Valley, Senate Chambers, Thunder Basin), Lower Level spaces (Skylight Lounge, Fireplace Lounge, and Lower Pokes Pub) and marketing services (Table Tents, A-Frames, etc.) for the duration of this year. To gain access, complete an access request form. 

• All meeting rooms (noted above) will have standard setups. The standard setup will be visible on the reservation form. Additional setups are available for a small fee.
     o Big Horn: Half Classroom of 16 (front) with Theater of 20 (back)
     o Warm Valley: Conference of 20
     o Senate Chambers: Conference of 30
     o Thunder Basin: Conference of 17

Once you submit your request, expect a reply in 48 hours or two business days. Please note your request for a room will not be confirmed until the Union Events Office contacts you with a confirmation.
