In many circumstances, carrying passengers in a vehicle being used for University business requires additional forms or approvals. Please see the requirements based on the type of vehicle below.
Passengers are not allowed to travel in a University of Wyoming owned vehicle if they are not directly related to and/or required as part of University business; rare exceptions can be made at the discretion of the Risk Management Department. Forms to request an exception to allow a passenger exception are listed below and must be received at least five (5) working days prior to the planned travel.
If passengers not related to UW business are traveling on UW business in a PERSONALLY OWNED VEHICLE, one of the following waivers must be signed by each passenger (or their legal guardian if the passenger is a minor) and be on file in your department prior to any travel. Departments are responsible for filing the waivers with Risk Management.
The University of Wyoming provides property damage and liability coverage (through insurance or self-insurance) for vehicles owned by the University of Wyoming. This includes vehicles leased to the Cowboy Joe Club. Please click the following link for the insurance card.
In the event of an accident, please complete the Accident Report Form and submit to Kimberly Flowers, Hill Hall 643 or via email.
The University of Wyoming provides property damage and liability coverage through its corporate agreements with some rental vehicle companies and through its P-Card agreements as well as through self-insurance and in some cases excess insurance. We encourage UW personnel to use the University's corporate rental agreement(s) for renting vehicles whenever possible. In the event of an accident, the following information must be submitted via email to risk@uwyo.edu:
Individuals using a personal vehicle are required to carry auto liability insurance that meets the minimum limits required by the state. The owner must use his/her individual automobile insurance coverage as the primary insurance in the event of an accident. Once the owner's policy has been exhausted, the University's excess liability coverage will apply. The University will not reimburse for any deductible or liability claim paid by their personal auto insurance policy.
The University of Wyoming will not pay for any damage to the personal vehicle.
Please notify Risk Management by completing the Accident Report Form and return via email.
