Step-by-Step Guide: I-9 Completion Process
STEP 1: Check Your Email for Instructions
Upon accepting your offer for the position and once the Human Resources team has fully processed you in the system as a new hire, our I-9 Specialist will begin the I-9 process by sending you an email with instructions about completing Section 1 via our third party vendor, First Advantage.
Please note: It is very important that you do not ignore this email, as it can delay your ability to begin work. Be sure to check your spam folder just in case!
STEP 2: Complete Section 1 of Form I-9
Once you receive the email, follow the instructions and link provided to complete Section 1 of Form I-9 online via First Advantage. You will only enter in personal information required for Section 1 and will not need to provide official documentation yet (that is reserved for completing Section 2).
All new employees must complete Section 1 on or before their first day of work (i.e., the date listed as your start date in your offer letter).
Note: The email will be sent to your personal email or whichever email you provided the hiring team.
STEP 3: Gather Your Official Documentation
Once you've completed Section 1, you are required to complete Section 2 by presenting physical, official documentation that you are legally authorized to work in the United States. Photos or photo copies of your documents will not be accepted.
Important: Be sure to gather your documentation ahead of time and have it ready to present to HR. This is particularly important since you likely do not carry official documents such as your birth certificate or Social Security Card around with you on a regular basis (we definitely don't recommend that).
Please reference the list of acceptable documents below BEFORE you book your I-9 appointment to ensure the process is smooth and not delayed.
STEP 4: Complete Section 2 of Form I-9
Once you've gathered your acceptable, physical documentation for completing Section 2, you must present your documentation either in-person (if local) or virtually (for those working outside of Laramie, WY) on or before your first day of work. Your I-9 must be completed within 3 business days of your start date to be compliant.
Employees who do not complete I-9 requirements within the grace period will not be able to continue work as they are not compliant with Federal regulations.
Human Resources is located in Hill Hall (3rd Floor). Check-in at our front desk, room 327 or 337 to complete your I-9. You can walk-in during regular business hours or book an appointment ahead of time using the link below.
STEP 5: You're Done!
Once you've completed Section 2 of Form I-9, you are all done!

Are you a non-U.S. citizen and/or permanent resident?
All non-U.S. citizens and/or permanent residents must first confirm their immigration status and/or employment eligibility with International Students and Scholars (ISS) office in Knight Hall, Room 241, prior to beginning any employment at the University of Wyoming.
When you meet with ISS, you must bring relevant, original travel/employment documents (i.e., valid passport, I-94, I-20/DS-2019, Resident Alien Card (Green Card), or I-797 (Approval Notice) to the ISS office for review prior to initiating the I-9 process with Human Resources.

Important Tax Information for International Employees
All international employees must contact the Tax Office (located in Room 401 in Old Main), prior to receiving their first paycheck to determine their status regarding United States taxes. The United States has tax treaties with several countries that reduce tax rates on certain types of income.
Exemption from taxes is not automatic. Schedule an appointment by calling the UW Tax Office at (307) 766-2821 or visit Hill Hall (5th floor) room 519 to review your tax situation and fill out any required paperwork to claim tax treaty benefits you may be entitled to. Employees who may need a new copy of official documentation such as a birth certificate or Social Security Card, must contact the necessary county, state and/or federal agencies associated with where the event occurred. You'll find contact information specific to Wyoming below.
